    How to Upload and Organize Event Photos

    Upload a full wedding shoot into Smart Photo Selection, keep one folder per function, recover failed uploads and check the gallery is organised before you cull.

    Short answer

    Open the booking and click Upload — on its Booking Images card, or the Upload button in the gallery. In the Upload Images dialog use the Folder tile to pick a folder from your computer (each file keeps its folder name) or the Images tile for loose files, then click Upload N Images. The folders become tabs in the gallery (All, Without Folder, and one per function), so haldi, ceremony and reception stay apart from the very first upload.

    What You Need

    • A photographer account and an active booking for the event.
    • The shoot already sorted into folders on your computer — one per function, for example haldi, mehendi, ceremony, reception.
    • A stable connection. Uploads run several photos at a time in the background and can be resumed.
    • Uploads must happen before the booking is submitted; after submission the gallery refuses them.

    How a booking's photos are organised

    One booking holds one event, and folders inside it hold its functions. Folder names are not typed into Smart Photo Selection: they come from the folders on your computer, because every file keeps the folder it sits in when you pick a folder to upload. Files you pick individually arrive without one and collect under Without Folder, so nothing disappears. Every folder then shows its own count in the gallery, and the same folders are what the album steps, Face Scan and client selection read later — structure set here is structure everywhere.

    Step by step: upload the shoot

      Open the upload dialog

      From the booking, use Upload on the Booking Images card (it opens Upload Booking Images). From the gallery, click Upload in the toolbar to open Upload Images. Both are hidden once the booking is submitted.

      Choose folders or loose images

      Click the Folder tile to select a whole directory from your computer — every file inside keeps that folder name. Click the Images tile for individual files; those land in Without Folder. Uploading a wedding as haldi, mehendi, ceremony and reception folders gives the gallery four tabs with counts immediately.

      Check the queue

      The dialog shows Ready to upload, the number of images and the total size. Use Cancel to clear the queue, or Upload N Images to start. The button reads Uploading... while it runs.

      Watch progress and recover failures

      A progress panel follows the upload: Uploading... while files go, then Upload complete, or Upload finished with errors. Failed files are listed under Failed Images (N) with the reason. Click Resume to continue pending files after an interruption, Restart N Failed to retry the failures, and Clear Completed to tidy the list. The footer reads N uploaded, M failed.

      Confirm the folder tabs

      When the upload finishes, the gallery shows All (N), Without Folder (N) and one tab per folder with its count, for example ceremony (840). Click a tab to check that each function holds the frames you expect.

    Uploads close at submission

    Once a booking is submitted the gallery answers Images cannot be uploaded after booking submission, so finish uploading — and any re-uploads — before the client submits their selection.

    Organising a 3,000-photo wedding

    • Create the folders on your computer before you open Smart Photo Selection; the folder picker simply carries them across.
    • Keep one folder per function, and put portraits in their own folder if the couple asked for a portrait set.
    • Upload one function at a time when the shoot is large, so each batch can be checked against its tab count.
    • Leave nothing loose: anything in Without Folder should be moved into a folder on your machine and re-uploaded.
    • Fix the structure before culling — the folder tabs are how you review folder by folder and how the album's photo picker groups the shoot.

    Where the photos live

    Photos are stored with the booking and its gallery, not in your album project. Album Studio and the album editor read the same booking gallery, so there is no export between uploading and designing.

    Tips

    • Name folders the way the couple talks about the day (haldi, pheras, reception) — the tab names are what they will recognise in the gallery.
    • Upload from the folder picker rather than dragging files in one by one: folder names travel with the files automatically.
    • If a batch stops, open the progress panel and press Resume; failed files stay listed until you Restart N Failed.
    • Check tab counts right after each batch. A missing count usually means the files were picked with Images instead of Folder.

    Common Mistakes

    • Uploading the whole shoot as loose images

      Loose files collect under Without Folder. Pick the folders with the Folder tile instead, or the gallery has no function structure to cull or design from.

    • Leaving failed files behind

      The panel keeps them under Failed Images (N). Press Restart N Failed before you move on, otherwise the folder counts silently stay short.

    • Uploading after the client submits

      Submission locks uploads. Finish the gallery before asking the client to submit, or ask a super admin to reopen the selection.

    • Mixing several events in one booking

      Folders separate functions of one event, not separate events. Give each wedding its own booking so its gallery, scan and album stay independent.

    Frequently Asked Questions

    How many photos can I upload at once?

    Upload in batches per folder; files are sent several at a time in the background while you keep working, and the panel shows overall progress rather than blocking the page.

    Can I rename a folder after uploading?

    Folder names come from your computer at upload time, so rename the folder on your machine and re-upload that batch if the name is wrong.

    What happens to photos uploaded without a folder?

    They appear under the Without Folder tab with their own count, so they are easy to spot and re-file before culling.

    Where do uploads fit in the rest of the workflow?

    Upload first, then cull and select the photos, send them for client selection, and use the same folders when you choose photos for the album.
